01Who we are

URBCODE Media ("URBCODE", "we", "us") is a creative studio based in India that produces AI-generated video ads for brands. For the purposes of India's Digital Personal Data Protection Act, 2023 and other applicable laws, we are the data fiduciary (controller) for the personal information described here.

02What we collect

Our website has no sign-up, no contact forms and no analytics or advertising trackers. We only receive personal information when you choose to contact us or work with us.

Information you give us

• Contact details such as your name, phone number, email address, business name and role, when you message us on WhatsApp, email us, or call us.
• Message content, including anything you tell us about your brand, products, budget or project.
• Project materials you send us, such as product photos, logos, brand guidelines, scripts and reference videos.
• Billing details such as billing name, address and GST number if you become a client. We do not store card or bank details; payments are handled by your bank or payment provider.

Information collected automatically

• Server logs. Like nearly every website, our hosting provider automatically records basic technical data when the site is loaded, such as IP address, browser type, device type, pages requested and the time of the request. This is used to keep the site running and secure.

03How we use it

• To reply to your enquiries and send you samples, quotes and proposals.
• To produce, revise and deliver the video ads you order from us.
• To issue invoices, keep accounts and meet our tax and legal obligations.
• To keep our website and systems secure and working properly.
• With your permission, to show finished work in our portfolio (see below).

We rely on your consent (for example, when you message us), on what is needed to perform our agreement with you, and on our legal obligations. We do not sell your personal information, and we do not use it for automated decisions that affect you.

04Your brand materials

Product images, logos and other files you share are used only to make your ads. In particular:

• We will not use your materials or the ads we make for you to promote anyone else.
• We will not upload your materials to AI tools that are permitted to use them to train public models, where we can choose that setting.
• We only feature your ads in our portfolio, website reel or social media with your permission, and we will take them down if you ask.

05Third-party services

A few outside services are involved when you use our site or contact us. They process data under their own privacy policies:

• WhatsApp (Meta). Our "Chat on WhatsApp" buttons open WhatsApp with a pre-filled message. Conversations are handled by WhatsApp under the WhatsApp Privacy Policy.
• Google Fonts. Our pages load fonts from Google's servers, which means your browser shares your IP address with Google when it downloads them. See the Google Privacy Policy.
• Email and web hosting providers, which store our emails and serve this website.
• AI video and image generation tools, which we use to produce your ads from the materials you provide.
• File-sharing services (such as Google Drive or WeTransfer) if you choose to send or receive files that way.

06Cookies

Our website does not set any cookies and does not use analytics, advertising pixels or tracking scripts. If we ever add them, we will update this policy and ask for your consent where the law requires it.

07Sharing

We share personal information only:

• with the service providers listed above, to the extent they need it to provide their service;
• with our accountants, lawyers or other professional advisers;
• when required by law, court order or a government authority; or
• as part of a merger, sale or restructuring of our business, in which case this policy will continue to apply.

Some of these providers may store data outside India. Where they do, we rely on providers that apply reasonable safeguards.

08Retention & security

We keep enquiry messages for as long as needed to respond and follow up, and client project files for as long as the project is active plus a reasonable period afterwards so we can make revisions. Invoices and accounting records are kept for the period required by Indian tax law (typically up to 8 years). After that, we delete the information or make it anonymous.

We use reasonable measures such as access controls, secure passwords and reputable service providers to protect your information. No method of transmission or storage is completely secure, but if we become aware of a breach that affects you we will notify you and the relevant authorities as required by law.

09Your rights

Subject to applicable law, you can:

• ask what personal information we hold about you and get a copy of it;
• ask us to correct, complete or update it;
• ask us to delete it, unless we need to keep it for legal reasons;
• withdraw consent you have given, such as permission to feature your work in our portfolio;
• nominate another person to exercise these rights on your behalf; and
• raise a complaint with us, and if you're not satisfied, with the Data Protection Board of India (or your local data protection authority if you live outside India).

To make a request, contact us using the details below. We will respond within a reasonable time and may need to verify your identity first.

10Children

Our services are for businesses and are not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has sent us their information, please contact us and we will delete it.

11Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows when it was last changed. If we make significant changes, we will let current clients know.
